Executive Assistant
To manage the efficient running of the CEO's office, providing full PA / secretarial and support. Acting as the eyes and ears of the CEO and wider Executive Team, being one-step ahead and demonstrating fantastic interpersonal and organisational skills. With an ever-changing workload and diary, the role will require the post holder to exceptional communication and decision-making capabilities.
• Coordinate complex scheduling and extensive calendar management and all associated arrangements to ensure the smooth running of scheduled and to optimum effectiveness of the CEO's time, to include agenda, briefing materials, packs, travel and refreshments
• Monitoring and prioritising incoming mail/emails/ calls on a daily basis, dealing, responding and redirecting as appropriate
• Preparation, including design where appropriate and production of presentations, correspondence and reports / background research as required
• Preparing of meeting material as well as attending meetings to take the minutes / actions when required and following up prior to the next meeting

• Maintaining control of CEO budget, process invoices and monthly expense claims for the CEO and their direct reports, ensuring the expenses policy is adhered at all times
• Meeting and greeting of visitors and arrangement of catering as required
• Arranging monthly Take a Seat employee communication sessions maximising attendance with employees from across the business. Attending to take minutes and follow up on actions as required
• Management of short term visitor reporting requirements for any overseas visitors, completing annual tax returns as appropriate
• Skilled at planning and arranging complex travel to include booking travel to include flights, taxi and hotels for Executive Team and for others across the business as required
• Responsible for the monthly preparation and presentation of the Business Performance Pack to include ensure all data is provided and the presentation is prepared
• Support the communication teams with organising events to include SSGB roadshows and leadership conferences
• Maintain Executive team electronic folders
• Provide strong support in administration of the executive internal control environment (assuring compliance with ICE/DACI requirements, which includes “manage the company” processes and procedures)
