The main purpose of the role is to complete all high-level administration and data analysis on intake management, focussing on reconciliation of raw materials to site, accurate supplier invoicing based on agreements, provision of accurate financial information, co-ordination of logistics with supplier & haulier for all goods intake to ensure that the factory is at full supply at all times.

* To ensure that all raw materials schedules are up to date at all times and fully communicated to all stakeholders.

* Maintain a close, effective working relationship with all key suppliers at all times.

* All work is completed to a high standard as per the principle responsibilities.

* Intake Administration and Scheduling

* Intake Accounting & Administration

* Based on the schedules provided by the Planning Lead:

* Liaise with the approved logistics partners and key customers, to agree dates/times for pick up.

* When required, complete weekly/monthly invoices to recharge costs, as per the contract, to include filing any administration documentation to be held for traceability.

* Provide support as and when required to the Head of Procurement on all aspects of product planning, procurement and Logistics to include diversions & contract management in liaison with the Purchasing Managers.

* Provide annual leave cover for the Operational Performance Analyst & the Production Logistics Coordinator.

* Carry out duties & objectives as required by the Logistics & Services Manager, which are deemed to be within the scope of existing knowledge, experience and training.

* Ensure personal compliance with all management, Health & Safety, Energy and Environmental Management system requirements.

* To proactively use the company ERP system IFS to meet the requirements of the role and to actively seek support and training where required

* Inform production managers of any operators that are not entering data accurately

The Position:

* Business Administration NVQ level 3 or higher; or equivalent qualification/work experience.

* Relevant Planning, Procurement or Accounting qualification desirable

* ISO accredited, or equivalent, internal auditor

* Microsoft Office software skills – Advanced Level on Excel

* 2 years’ minimum work place experience desirable.

* Excellent organizational skills

* High level of confidentiality

* Display friendly & professional behaviour at all times

* Possess high level of skill in numeracy, problem solving and root cause analysis

* Possess excellent communication skills

* Ability to remain calm whilst working within a pressurised environment

* Able to work as an individual on own initiative as well as excel as a team member
