Manpower are recruiting a Personal Assistant (PA) to work for our Public Sector client.

Job role

You will handle highly confidential, sometimes very contentious and sensitive information of a personal, financial and political nature and will be relied upon to observe and comply with specific an confidentiality rules and policies.

You will be expected to work flexibly to support the team and assist other colleagues as and when required.

Main duties

Receive and review all appropriate correspondence, using own judgement to determine action required e.g. respond to relevant departments and prioritise for the leadership team to review
Manage diaries effectively, analysing and prioritising appointments appropriately and making adjustments when necessary.
Undertake all planning and support activities required in respect of meetings, including preparation and distribution of agendas, collation of reports and papers, publicity, venue organisation, minute taking and production of minutes.
Organise and plan the workload for the Leadership Team ensuring that the arrangements for meetings and appointments are managed effectively and that the work flow is scheduled so deadlines are met.
Co-ordinate travel arrangements, accommodation and catering arrangements as required.
Deal with calls from members of the public, staff, patients on a variety of issues.
Order and receipt good including processing invoices for payment
Assist in the gathering of information and data for audits
Undertake small projects to support the teamEssential criteria

Significant proven history of providing secretarial support to an Executive / Senior Manager
Specialist knowledge of organisational policies and procedures with the ability to deal with non routine issues
Experience of planning and supporting meetings
Proficiency in the use of Microsoft Office including Outlook, Word, Excel and Powerpoint
Ability to meet deadlines and work under pressureContract – Temporary for a duration of 3-4 months

Hours – You will be required to work 4 or 5 days a week (30 – 37.5 hours per week)

Hourly rate – £10.29 – £11.53
